AllAnswered provides an AI-powered knowledge management platform designed to operate within strict data access controls and enterprise-grade security infrastructure. The AI functionality is built to respect existing permissions, avoid unauthorized data exposure, and ensure customer data is not used beyond its intended scope.

AI Data Flow & Processing Boundaries

AllAnswered AI operates on a retrieval-based architecture in which responses are generated exclusively from content stored within a customer’s workspace and accessible under that user’s existing permissions. When a user submits a query, the system retrieves relevant content that the user is authorized to access, constructs a bounded context, and sends that context to the model for response generation. The resulting output is returned to the user without introducing any external or cross-tenant data.

This approach ensures that AI acts strictly as a reasoning layer over existing data rather than a new storage or aggregation layer. It prevents the system from expanding the scope of accessible information beyond what is already permitted.

Data Usage for AI Models

Customer data processed through AI features is used solely for real-time inference. It is not used to train, fine-tune, or otherwise improve underlying models. There is no cross-customer learning or persistence of customer-specific data within shared model weights.

When external AI providers such as OpenAI are utilized, data is transmitted on a per-request basis through secure APIs and processed transiently to generate a response. These providers do not gain rights to use customer data for training, in accordance with their API data usage policies (https://developers.openai.com/api/docs/guides/your-data).

Moderation & Content Safety

AllAnswered AI incorporates moderation mechanisms designed to ensure safe and appropriate use of the system. User inputs may be evaluated to detect harmful, abusive, or adversarial content, including attempts to manipulate the model or extract restricted information. These controls help identify prompt injection patterns and other misuse scenarios before they affect downstream processing.

Generated outputs are also subject to safety checks. The system is designed to prevent the generation of harmful, misleading, or policy-violating content. When necessary, responses may be blocked, redacted, or adjusted to comply with safety policies.

Data Retention for AI Interactions

AI interactions, including prompts and generated responses, may be logged to support product functionality, system reliability, and debugging. These logs are handled in accordance with platform-level data retention policies. Importantly, such data is not retained for the purpose of training or improving AI models, and it is not incorporated into any shared learning process.

Access to AI Data

Access to AI-related data, including prompts and interaction logs, is restricted to authorized personnel and is limited to specific operational purposes such as debugging, maintaining system reliability, and responding to customer support requests. AI interaction data is treated with the same level of sensitivity as primary customer content, and broad or unrestricted internal access is not permitted.

AI Risk Mitigation

The system is designed to address key AI-related risks through architectural and operational controls. Unauthorized data exposure is mitigated through strict permission-filtered retrieval. Prompt injection and adversarial inputs are addressed through input validation and system-level guardrails. Hallucinations and misleading outputs are reduced by grounding responses in retrieved content. Potential abuse or misuse of AI capabilities is monitored and constrained through moderation and behavioral safeguards.

Reporting Issues & Escalation

AllAnswered provides a dedicated channel for reporting AI-related security or safety concerns. Customers should report issues such as suspected data exposure, incorrect or misleading outputs, or policy violations to security@allanswered.com, including relevant context to support investigation.

Reported issues are reviewed and triaged based on severity and impact. Mitigation actions may include response correction, guardrail updates, or system-level improvements. Security-related incidents are handled in accordance with established incident response procedures, with customer communication aligned to applicable notification commitments.
